El Campanil Theatre Rental Rates and Policies
January 1, 20
10

Theatre Description - This beautifully restored theatre has a capacity of 700 seats including space for 8 wheelchairs.

Rental Rates - The Theatre will be rented to individuals, businesses and organizations based on a rate schedule approved by the Board of Directors.  The rental rate structure, effective  January 1, 2009, is included at the end of this section.

Deposits and Cancellations - A deposit fee of $250.00 will be required to hold a date on the Theatre calendar.  This fee will be refunded if cancellation occurs 120 days in advance of the scheduled date.  Cancellation must be made with written notification. The balance of the base rental fee will be required no later than forty-five days in advance of the event date.  Cancellation of the date after this point will result in forfeiture of the entire base rental deposit.

Discretionary Booking - At the discretion of the Board of Directors, requests for rental of the Theatre may be denied if the proposed event presents a potential conflict to the market target of a previously scheduled event or an event that is not considered in the best interest of the theatre.  Criteria include market saturation of a particular event type, the long-term relationship of existing Theatre clients and the image or financial impact on the Theatre.

Events requiring security may not be appropriate for this venue and approval will be at the discretion of the theatre manager and board of directors.

Labor - To ensure the protection of all in-house equipment and the professional presentation of events, the Theatre requires that the client utilize the house maintenance and technical staff of the Theatre for their event.  Any expense for labor incurred by the Theatre shall be billed to the client per the rates described at the end of this document.

Cleanup and Damage Deposit – Clients will be charged a deposit of $200.  Cleanup will be provided by theatre staff at a minimum charge of $100.  Additional charges, if any required, will be deducted from this deposit.

Insurance – All theatre clients will be required to provide general liability insurance to cover their activities in the Theatre, including load-in, load-out, rehearsals, and any time spent by their participants on the premises. This insurance will be for a minimum $1,000,000 per occurrence, combined single limit, and shall name the El Campanil Theatre Preservation Foundation its officers and employees, as additional insured. All clients will be required to provide proof of this insurance in the form of a certificate. In addition, any client with employees involved in the event must provide proof of worker’s compensation insurance that complies with State law.

Rehearsal Time - Clients using the Theatre for the production of events can schedule additional time for rehearsal. The fee for this time shall be charged as per the rental rates at the end of this section.  In all cases, priority will be given to performance oriented usage dates and rehearsal time shall be scheduled only when it does not interfere with other events.  Clients can reserve the facility for rehearsal time at the same time that their event is scheduled, however the date will be considered tentative until thirty days prior to the event date.

Production Equipment – Clients of the Theatre will be provided basic sound services and a stage wash.  Additional equipment and services are available upon request.

Support of Non-Profit Organizations -
Financial support for local non-profit organizations will be offered through the Cultural Growth Fund.  The level of this funding shall be set annually by the Board of Directors, based on funds available from grants, sponsorships and Theatre operating reserves.

Church Services – In an effort to establish the image of El Campanil Theatre as a community theatre with a variety of programming, rental of the theatre for regular church services will be limited to Sundays. More than one service per Sunday is permissible when scheduling allows.  Church special events will be booked as with other community rental events throughout the year.

Use of the Marquee – In keeping with the effort to establish a new image for the El Campanil, use of the marquee will be restricted to those activities and events that best promote the new image, i.e., to the Theatre itself and to the arts. Priority will be given to El Campanil Theatre productions.

Rental Rates:  Includes use of theatre auditorium, lobby, stage, basic sound and lighting, dressing rooms.
